Privacy Policy

1. Overview

CheckStay Pro is a macOS desktop application developed and distributed by Hawser Labs (“we,” “us,” or “our”), located in Ventura County, California. This Privacy Policy explains what information CheckStay Pro collects, how it is used, and the choices you have. By installing or using CheckStay Pro you agree to the practices described here.

2. Information We Collect

2a. Data you create in the app

All project data you enter — projects, milestones, RAID log entries, contacts, activity log entries, categories, and AI assistant conversation history — is stored locally on your Mac in an application data file (store.json). If you are signed in with a Hawser Labs account, this data is also encrypted in transit and synced to a private Supabase database workspace associated with your account, so you can restore it after reinstalling the app or on a new machine.

2b. Account & authentication data

CheckStay Pro supports sign-in via Google OAuth 2.0. When you sign in, we receive your Google account email address, display name, and profile photo URL from Google. We store your email address to identify your account and associate your synced data. We do not receive or store your Google password.

2c. License & machine data

When you activate a Pro license key, your license key and a one-way SHA-256 hash of your Mac’s hardware identifier are sent to our Supabase license validation service. This fingerprint is used solely to enforce the per-machine license limit and cannot be used to identify you personally.

2d. AI Assistant

CheckStay Pro includes an AI Assistant that you may configure to use one of the following providers:

  • OpenRouter — a third-party AI gateway. When you send a message, your message, your configured system prompt (which includes a summary of your project data), and relevant conversation history are transmitted to OpenRouter’s servers. OpenRouter’s own privacy policy governs how they handle that data.
  • Google Gemini — Google’s AI API. The same types of data described above are transmitted to Google. Google’s privacy policy applies.
  • Ollama (local) — an on-device AI runtime. No data leaves your Mac when using Ollama.

Your AI provider API keys are stored locally on your device and are never transmitted to Hawser Labs servers.

2e. Diagnostic & crash data

We do not currently collect crash reports or usage analytics automatically. If you contact us to report a problem, any logs or information you share voluntarily will be used only to diagnose and resolve the issue.

3. How We Use Your Information

  • To provide, maintain, and improve CheckStay Pro.
  • To sync your project data across reinstalls when you are signed in.
  • To validate your Pro license key and enforce machine limits.
  • To respond to support requests you initiate.

We do not sell your personal information. We do not use your project data for advertising.

4. Data Sharing

We share data only in the following limited circumstances:

  • Supabase — our cloud database and authentication provider. Your synced project data and account information are stored on Supabase infrastructure. Supabase’s privacy policy applies.
  • AI providers — as described in Section 2d above, only when you actively use the AI Assistant.
  • Legal requirements — if required to do so by law or in response to valid legal process.

5. Data Retention & Deletion

Your local data remains on your device until you uninstall the app or delete it manually. Your synced cloud data is retained while your account is active. To request deletion of your cloud data and account, email us at hello@hawserlabs.com and we will process your request within 30 days.

6. California Privacy Rights (CCPA)

If you are a California resident, you have the right to know what personal information we collect, request deletion of your personal information, and opt out of the sale of your personal information (we do not sell personal information). To exercise these rights, contact us at hello@hawserlabs.com.

7. Children’s Privacy

CheckStay Pro is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

8. Security

We use industry-standard measures to protect your data, including TLS encryption in transit and restricted access controls on our Supabase instance. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will update the “Last updated” date at the top of this page. Continued use of CheckStay Pro after changes are posted constitutes your acceptance of the revised policy.
